WhatsApp AI agents for real estate and holiday homes: what they do, cost, and where they fail (2026)

What a WhatsApp AI agent does for brokerages and holiday-home operators, Meta's rules and fees, published prices in Dubai, and where it is the wrong tool.

A WhatsApp AI agent is software connected to the WhatsApp Business Platform that reads incoming messages, answers from your own data, and hands the conversation to a person when it should. For a real estate brokerage it qualifies leads and books viewings. For a holiday-home operator it answers guest enquiries and sends check-in details from the property management system.

STYLABS builds these under its workflow and AI automation service, from Dubai and Mumbai. This page covers what the agent does in each business, how it is built, the rules and fees Meta sets, the prices competitors publish, and the cases where it is the wrong tool.


What it does for a real estate brokerage

Lead qualification. Enquiries from portals, ads and the website land in WhatsApp. The agent replies in seconds, in the language the enquiry arrived in, and asks what a broker would ask first: buy or rent, area, bedrooms, budget, timeline, and whether the buyer is in the country. It answers listing questions from the brokerage's own listing data and nothing else.

Speed has a published value on at least one portal. Property Finder's SuperAgent criteria include the instruction to "maintain fast responses within 2 hours for WhatsApp leads, with an overall response rate above 80 percent" (Property Finder Partner Hub, Super Agent, retrieved 3 October 2026). We have not found a published statement on whether an automated first reply counts towards that measure. Ask your Property Finder account manager before relying on it.

Viewing scheduling. The agent reads the broker's calendar, offers two or three slots, books the one the buyer picks, and sends the confirmation. A reminder the next morning goes out as a pre-approved template, for reasons covered under Meta's rules below.

CRM hand-off. Every conversation ends in the CRM: a lead record with the answers, the transcript, the listing the buyer asked about, and the source. The lead is assigned to a broker by area or language, and the broker is notified with a summary, so the first human message continues the conversation.

What the agent should not do in a brokerage: quote a price that is not in the listing data, negotiate, or give advice on mortgages, visas or investment returns. Those go to a person.

What it does for a short-term-rental operator

Guest enquiries. Before booking, guests ask the same things: is it free on these dates, what is the rate, is there parking, how far is the beach. The agent checks availability and rates in the property management system (PMS), answers house-rule questions from the listing content, and sends a link to book direct.

Check-in messaging. After booking, the agent sends arrival instructions, directions and checkout details, triggered by reservation events in the PMS. Access codes should be released only against a confirmed reservation and close to arrival.

PMS lookups. The agent matches the guest's phone number to a reservation and answers from it: check-in time, number of guests, balance due, whether a late checkout is possible given the next arrival. Anything that changes money goes to a person.

For operators on Hostaway, the pieces exist. Hostaway's public API covers reservations, listings, calendars and guest conversations, and offers unified webhooks for new reservations and new messages (Hostaway Public API Reference, retrieved 3 October 2026). Hostaway's own inbox also supports WhatsApp as a channel. Its changelog describes the ability to "send and receive messages using your own WhatsApp Business number, directly from the Hostaway Inbox" (Hostaway changelog, WhatsApp Business Inbox Integration, retrieved 3 October 2026). One design rule matters for holiday homes. WhatsApp's Business Messaging Policy says: "Don't share or ask people to share full length individual payment card numbers, financial account numbers, personal ID card numbers, or other sensitive identifiers" (WhatsApp Business Messaging Policy, last updated 23 September 2026, retrieved 3 October 2026). An agent that collects guest identity details should send a link to a secure form, not ask for them in the chat. How it is built

  1. A WhatsApp Business Platform number. The agent runs on Meta's API, not on the WhatsApp Business phone app. Meta's own pricing page describes service messages as a way "to manage incoming customer inquiries, whether that is via an agent or a conversational AI-powered bot" (WhatsApp Business, Platform pricing, retrieved 3 October 2026).
  2. A receiver. Meta sends each incoming message to a webhook. A small service records it, identifies the contact, and decides what happens next.
  3. The model and its tools. A language model writes the reply, and it may only use the tools it is given: look up a listing, read a reservation, check a calendar, book a slot, create a lead. Lookups come first. Actions that write data are few and limited.
  4. The hand-off. When a rule fires, the conversation is assigned to a person in the shared inbox or CRM, with the transcript, and the agent stops replying in that thread.
  5. Logs and evaluation. Every step is logged and replayable, and a sample of conversations is reviewed against a checklist each week. This is how drift gets caught before a customer catches it.

The rules Meta sets

These are platform rules, not good practice. Break them and Meta can suspend the account.

The 24-hour window. Meta's documentation says: "When a WhatsApp user messages you or calls you, a 24-hour timer called a customer service window starts" (Meta for Developers, Send messages, retrieved 3 October 2026). Inside the window the agent can reply freely. Each new message from the user resets it.

Templates outside the window. Once the window closes, only pre-approved message templates can be sent. Templates fall into three categories: marketing, utility and authentication. A viewing reminder or check-in instruction is normally a utility template. A message about new listings or a return-stay offer is marketing.

Opt-in. The policy says: "You may only contact people on WhatsApp if: (a) they have given you their mobile phone number or username; and (b) you have received opt-in permission from the recipient confirming that they wish to receive subsequent messages or calls from you" (WhatsApp Business Messaging Policy, above). A purchased list of phone numbers does not qualify.

A route to a human. The same policy says: "You may use automation when responding during the 24-hour window, but must also have available prompt, clear, and direct escalation paths." It lists in-chat transfer to a human agent, a phone number, email, web support and a support form as acceptable paths.

The agent must serve your business. Meta's terms for the WhatsApp Business Platform prohibit providers of general-purpose AI assistants from using the platform where the assistant is the main thing being offered, as opposed to an incidental part of a business's own service (Meta Terms for WhatsApp Business Platform, last modified 23 September 2026, retrieved 3 October 2026). A brokerage answering its own leads or an operator answering its own guests is the permitted case. The same terms restrict using WhatsApp conversation data to train AI models.


What Meta charges

Since 1 July 2025 Meta has charged per message, and only when a template is delivered (Meta for Developers, Pricing on the WhatsApp Business Platform, retrieved 3 October 2026).

Rates depend on the market and the message category. Meta publishes them in rate cards and in the calculator on its platform pricing page, and says it may update pricing only on the first day of a quarter.

An agent that mostly answers inbound enquiries therefore pays Meta little or nothing. The fees arrive with reminders and follow-ups.

Check the rates yourself before you budget. Some messaging vendors report that Meta began charging for some in-window replies on 1 October 2026 (for example EngageLab, WhatsApp Business API Pricing 2026, retrieved 3 October 2026). Meta's own pricing pages did not say so when we read them on 3 October 2026, and the quotations in the table are from those pages.

The hand-off happens in the same WhatsApp thread. The person sees the full transcript and the summary, and the agent stays silent until the conversation is released back to it. Outside working hours the agent says when a person will reply and gives a phone number for emergencies.

Hiring an AI automation agency in Dubai

The table gives the order to try things in. A brokerage with three WhatsApp numbers pays TaharProp $149 a month. An accommodation operator pays Conduit from $18 per unit per month. A custom build costs more than either in its first year, so it has to earn the difference.

It earns it in three situations: the product cannot reach your data, for example a custom CRM, an ERP or an operator dashboard; the workflow crosses systems, such as a viewing booked in one tool, a lead scored in another and a commission tracked in a third; or you need to own the logic, the logs and the prompts and change them weekly.

When comparing agency quotes, ask what the monthly fee covers. Model usage, Meta's fees, hosting, monitoring and changes to prompts are five separate costs, and a quote should say which are included.


Where it is the wrong tool

  • One person already answers every enquiry within the hour. The WhatsApp Business app with saved replies is enough. An agent solves a volume or an out-of-hours problem.
  • You need scheduled check-in messages and nothing else. Hostaway's inbox and message automations already do this. Hostaway says its AI can "draft, refine, and send your guest communications automatically" (Hostaway, Communication, above). Use what you are paying for first.
  • Your data is not in a system. If listings live in a spreadsheet and availability in someone's head, the agent has nothing reliable to answer from. Fix the data first.
  • You want to message people who never contacted you. Meta requires opt-in, and marketing templates are charged per message. An agent is for conversations people started.
  • The conversation is the sale. Negotiating a price, handling a complaint, advising an investor: these are worth a person's time and should reach one quickly.
  • You want a general assistant on WhatsApp. Meta's terms prohibit it. The agent has to serve your own customers on your own business.

Published prices on 3 October 2026 ranged from $99 to $299 a month for a brokerage product, and from AED 5,000 to AED 30,000 for setup by a Dubai agency, with monthly fees of AED 1,200 to AED 5,000. Meta's message fees are extra. A custom build by a studio is quoted after scoping.
